The 7-part brief template
- 1. Business goal (one sentence). Not "build a website" — "get wholesale buyers to request quotes without calling us."
- 2. What exists today. Current site/app, stack if known, what's broken or missing. Links, screenshots, access notes.
- 3. Scope — in. The screens, features and flows this project includes. Bullet points beat paragraphs.
- 4. Scope — out. The most valuable section of any brief: what you're explicitly NOT paying for this round. Kills 80% of scope creep.
- 5. Examples. 2–3 products that feel right, and one that feels wrong — with a sentence on why for each.
- 6. Constraints. Budget range, deadline (real vs preferred), brand rules, integrations that must be kept, devices that matter.
- 7. Success check. "This project is done when ___" — measurable, visible, testable.
The 5 brief mistakes that inflate quotes
- Vague nouns. "A modern dashboard" means nothing; every unclear word gets priced as risk.
- Hidden decisions. "We'll decide the payment provider later" — later costs 3× more than now.
- Solution smuggling. Prescribing tech ("must be React") without a reason narrows your talent pool and sometimes the quality.
- No priorities. If everything is must-have, the quote covers everything at once. Mark the launch-blockers.
- The missing "out" list. See #4 above — its absence is where budgets go to die.
What a good brief unlocks
With a real brief, quotes stop being defensive guesses: comparable numbers, honest timelines, and a first week that starts with building instead of interrogating. It's also the fastest way to spot a weak developer — the good ones respond to a tight brief with sharper questions, not a lower price.
